Part Time Cashier/Receptionist
The receptionist / cashier is responsible for the proper reconciliation of repair orders and parts invoices and the collection of money from their business in the dealership and managing of incoming phone calls.
SPECIFIC RESPONSIBILITIES:
Collect the total retail charges from the customer in cash, check, or charge. Properly document payment on accounting copy of invoice.
Provide the customer with the proper change and/or receipts.
Handle and account for the cash in and out in the assigned money box/drawer. This must be reconciled at the start and end of each shift.
Control the keys associated with completed repair orders. Properly secure returned loaner car keys.
At no time is the cashier / reception area to be vacated without another employee overseeing the area for security reasons.
File service accounting and parts copies accordingly.
Complete service scanning each day. Every piece of paper attached to the repair order must be scanned properly and clearly.
Populate next day's appointments on Service Reception PC/Monitor.
Print next day's service appointment schedule. Identify and document Sales Person associate with said client. Hang in Sales Manager's office.
Answer all telephone calls within three (3) rings. Transfer calls to the person requested or best suited to take the calls. If individual is unavailable, an offer to transfer to voice mail or take written messages when the needed personnel are not available. Remember, you must use your name on every incoming phone call.
Be courteous and helpful to all customers and obtain immediate assistance for situations needing management intervention.
Complete the Client Survey with every customer populating the appropriate form. Additionally, completed the Service Advisors personal follow-up form.
The use of the Internet is provided by the organization to assist employees in obtaining work-related data and information. Abuse of the Internet access provided by the organization is a violation of company policy. Please keep personal calls and texting to an absolute minimum. There is always something to do!
Maintain a level of personal appearance consistent with the standards set by the dealership. Business Professional dress code is expected by all employees including part time employees.
Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, its employees, or customers.
Perform any other administrative tasks as directed by management.
